5S CERTIFICATION
I. INTRODUCTION TO 5S
5S is a management method originating from Japan, implemented to improve workplace efficiency by organizing, arranging, and maintaining a neat and clean work area. The term "5S" comes from five Japanese words that all start with "S": Seiri, Seiton, Seiso, Seiketsu, and Shitsuke, which translate to Sort, Set in Order, Shine, Standardize, and Sustain in English.
- Seiri (Sort): Eliminate unnecessary items from the workplace, keeping only essential tools for daily tasks. This reduces clutter and frees up workspace.
- Seiton (Set in Order): Arrange necessary items in an orderly manner, making them easy to find and use. This saves search time and increases work efficiency.
- Seiso (Shine): Keep the work environment clean by regularly cleaning the workspace and equipment. This helps detect damage early and ensures stable operation of tools and machinery.
- Seiketsu (Standardize): Maintain the established standards for sorting, organizing, and cleanliness. This step preserves the results of the first three steps and ensures ongoing adherence to the 5S process.
- Shitsuke (Sustain): Develop self-discipline to follow set rules consistently. Readiness to implement 5S is key to long-term success and fostering a positive work culture.
The 5S tool not only improves the work environment but also strengthens teamwork, boosts productivity, and creates a safe, organized, and professional workspace. This method is easy to apply and can be implemented in any organization, from manufacturing to services, aiming for work excellence.
II. CERTIFICATION PROCESS
1. Certification Registration: Organizations seeking 5S certification should contact GIC Vietnam for registration guidance. Organizations then complete the application and submit it to GIC Vietnam, along with required certification documents.
2. Audit program development and auditor assignment: GIC Vietnam develops an audit program, clearly outlining the necessary activities to verify good 5S practices within the organization and areas for improvement.
3. Assessment process: This follows the steps: Opening Meeting → Departmental/Unit Evaluation covering general 5S requirements, 5S in production and service areas, office 5S, warehouse 5S, common area 5S, and surrounding area 5S → Assessment Report Preparation → Closing Meeting.
4. Evaluation report and 5S certification issuance: Organizations scoring ≥ 70% of the total points will be awarded a 5S certificate, valid for 2 years. Additionally, organizations are advised to consider "Improvement Recommendations" to enhance the effectiveness of 5S implementation.
